Job Title: Executive Assistant

Reports To: Chief Executive Officer (CEO)

Position Summary:

The Executive Assistant provides high-level administrative support to the CEO. This role involves managing schedules, coordinating meetings, and handling communications. The Executive Assistant serves as a key liaison between the CEO, board members, and external stakeholders.

Responsibilities

  • Manage the CEO’s calendar, schedule appointments, and coordinate meetings, ensuring optimal use of time
  • Prepare and edit correspondence, reports, presentations, and other documents
  • Handle incoming and outgoing communications, prioritizing and responding on behalf of the CEO when necessary
  • Organize board meetings, committee meetings, and other executive events, including preparing agendas, taking minutes, and following up on action items
  • Arrange logistics for meetings, such as booking venues, coordinating technology needs, and managing catering
  • Maintain organizational files, records, and databases with a focus on confidentiality and accuracy
  • Assist with travel arrangements, including booking flights, accommodations, and creating itineraries.
  • Process expense reports, invoices, and other administrative paperwork
  • Serve as a primary point of contact for internal and external stakeholders seeking information or meetings with the CEO
  • Foster professional relationships with board members, community partners, and industry representatives
  • Support the CEO and leadership team with special projects, research, and presentations
  • Assist in organizing events, conferences, or programs related to the DMO’s initiatives
  • Anticipate needs and proactively address potential issues or challenges
  • Ensure deadlines are met and tasks are completed efficiently in a fast-paced environment
  • Additional tasks as needed

Qualifications

  • A Bachelor's degree in Business Administration, Communications, or a related field is preferred
  • 5+ years’ experience supporting a senior level/executive, preferably within a nonprofit or tourism-related organization
  • Strong attention to detail is required
  • Must be MS Office proficient: Excel, Word, PowerPoint
  • Excellent verbal and written communication skills and an upbeat attitude
  • High level of confidentiality is required
  • Extremely organized and ability to work efficiently in a fast-paced environment
  • Must be willing to be on-call off hours, reachable by mobile phone
  • Excellent problem-solving skills
  • The ability to work independently as well as part of the team
  • Be flexible, dependable, and results oriented

This role is ideal for a strategic and innovative leader with a strong background in destination development, stakeholder engagement, and project management, dedicated to driving tourism growth and enhancing the visitor experience.

Job Title: Destination Development Director

Reports To: Chief Executive Officer (CEO)

Position Summary:

This position is responsible for researching, developing, creating, and implementing destination development plans, programs, and events for Visit Williamsburg. It focuses on elevating the visitor experience, strengthening community collaboration, and pursuing grant opportunities when available.

Responsibilities

  • Create and execute the destination development plan to be approved by the Chief Executive Officer with timelines, goals, and measurable deliverables
  • Meet and engage with key stakeholders within the Historic Triangle to listen, understand, and assist in addressing existing challenges and opportunities to strengthen the visitor experience
  • Establish and maintain ongoing effective communications with business and cultural institution leaders, the local tourism industry, and elected officials about the benefits of the tourism industry, quality of place initiatives, and destination development
  • Expand event development initiatives into a comprehensive program aimed at growing event audiences and extending audiences into multi-day opportunities
  • Present and/or prepare data reports for presentations at key meetings in the community for the tourism industry and through educational opportunities
  • Collaborate with internal departments to enhance the visitor experience
  • Educate local tourism businesses about marketing opportunities available through Visit Williamsburg both in co-op advertising and on the organization’s website
  • Responsible for identifying tourism business needs that will foster growth and strengthen the local tourism industry throughout the Historic Triangle
  • Engage the tourism industry in the development and implementation of initiatives that address industry needs through facilitating positive relationships with tourism-related businesses throughout the Historic Triangle
  • Work collaboratively within and outside the organization to strategically and effectively create new programs and partnerships to advance the industry.
  • Develop, manage, and monitor all grant programs
  • Attend meetings on behalf of the CEO, as needed
  • Serve on local and regional committees approved by the organization
  • Represent Visit Williamsburg at public meetings, industry events, and conferences to advocate for destination growth
  • Serve as a member of the leadership team
  • Additional tasks as needed

Qualifications

  • Bachelor's degree in a related field such as Business Administration, Marketing, Hospitality, Tourism, or Data Science
  • At least 10+ years of experience in a related position
  • Previous experience with a destination marketing organization, events organization, or hospitality company preferred
  • Ability to handle multiple tasks and projects, communicate effectively, review and appraise complex issues, maintain strong working relationships with others
  • Knowledge of office software particularly MS Office Suite
  • Strong understanding of destination development, economic impact, and community engagement
  • Knowledge of grant writing and administration is highly desirable
